An opportunity has arisen to join East Sussex Fire & Rescue Service and undertake a key role in the Estates Team. Working in a small team, the Estates Administrator is responsible for logging defect reports and issuing repair orders to contractors, as well as administrating the invoicing process. Document management and archiving information will also play a key part of the role, so this opportunity would suit somebody who is well organised and able to bring new ideas and processes to the department. You will be well supported in a friendly environment and have regular contact with staff across the service. The Estates Department is keen to improve how we communicate information to our colleagues, this includes information shared on our intranet, and there will be an opportunity for this role to play a key part in this improvement. Duties include: • Providing administrative support to the Estates Manager and Estates Officer • Processing requests for and dealing with enquiries concerning repairs and other maintenance • Running reports to monitor performance of the repairs service • Implementing and maintenance of the Estates document management resources • Day to day liaison with site staff, tenants and contractors to chase the progress of individual repairs and maintenance works • Administrating and coordinating the Service House sales process The contracted hours of work will be 9.00am - 2.30pm, although subject to agreement, there may be some flexibility to this. The successful candidate will be educated to GCSE level or equivalent and have considerable working knowledge of Microsoft software packages including Word and Excel. You must have good communication skills with a customer service attitude and be able to use initiative, prioritise and organise your own workload.
