About the information we collect and process

The information you provide to us by forms on our Website or that you email to us for example: your name, email address, CV, employment history, qualifications, interests, contact telephone number.

We may also collect and process Special Category Data (eg race, ethnic origin, health etc) for the purposes of enabling our Customers to comply with their obligations under the Equality Act 2010 (to legally protect people from discrimination in the workplace and in wider society) - please see the Special Category Data section below


The lawful basis for processing this information
Contract and Legitimate Interests. When you apply for a job on our Website you agree to our terms and conditions which forms a contract between us. We also have a legitimate interest in regard to our agreement with our Customers.

The purpose for processing this information
To enable our Customer to evaluate your suitability for their job vacancy, to enable them to communicate with you (eg to arrange an interview, or to let you know that your application has not been successful)

How long will this data be retained?

If your job application results in employment by our Customer your information may be retained by our Customer for the purposes of Human Resources management and payroll purposes - this would be subject to our Customer's Privacy Policy and they would be the Data Controller of your information.

If your job application is not successful your job application information will continue to be available to our Customer for 6 months so that in the event that you were to make a claim regarding your job application then our Customer can make reference to your application in any resultant tribunal.

After 6 months your job application data will be deleted (unless you have requested we continue to process your data in relation to another of the recruitment Services we offer - for example if you want us to continue to notify you about further job vacancies that arise or you have opted in to be included in our Customer's Talent Pool)

Our Customer's staff who need to view your application information for the purposes of recruitment. All Regional Jobs staff who need to see this information for the purposes of providing you with the Services you have requested.

You can view and update this information by signing in to your account and visiting the My Details section or by contacting our Data Protection Officer

Your right to delete this information
This information will be deleted automatically in accordance with the "How long will this data be retained" section above. Please note that when you apply for a job your information will be retained for a minimum of 6 months for the reasons explained.

Special category data is personal data which the GDPR says is more sensitive, and so needs more protection.

Explicit consent, Legitimate Interests and Legal Obligation. Processing is necessary for the purposes of carrying out the legal obligations of our Customer in the field of employment. Our Customers have a Legal Obligation to monitor (by the collection of statistical data) on the community backgrounds and sex of applicants to their jobs in order to help measure performance and improvement in relation to equality and diversity.

The purpose for processing this information
The answers you give to any "equal opportunities monitoring" questions are not associated to you or your application; your answers are anonymised (stored in a way so as not to be linked to you) and then used to compile statistical data to help our Customers to measure performance and improvement in relation to equality and diversity.

Where we store your personal data
We store your information on secure servers within the UK and thus the European Economic Area (EEA). We do not pass your information to parties outside of the EEA.

We take appropriate measures to ensure that all personal data is kept secure including security measures to prevent personal data from being accidentally lost, or used or accessed in an unauthorised way, for the duration of your use of our Services.
